7 Main Departments in a Hotel (Functions and Responsibilities)

As one of the fundamental pillars of economic growth in the world, Hospitality and Tourism have grown into a multi-billion industry for quite some time. Amidst its rapid development, hotels and resorts have constantly been one of the main forces that drive this industry forward.
Although hotels and resorts are already familiar to people, many are not aware of the names of their departments, let alone intricacies of their day-to-day operations . With this article, we will get to know more about how hotel departments operate; learn about their functions as well as responsibilities, and how much of importance they hold to the hotel’s integrity.
Before proceeding, let’s take a look at the departments that made up a hotel’s structure:

hotel structureOrganizational Structure of Hotel.

Like a giant tree with both exposed and hidden roots, some hotel departments’ duties required them to deal directly with customers, the example being Front Office Department. The others work behind the scenes, such as Housekeeping Department. However, it doesn’t make back office departments less important and they all work simultaneously to support the hotel’s operations and provide optimal services for guests.
The bigger and fancier a hotel is, the larger departments and more staff it requires to operate. However, there are 7 main departments that are crucial to the day-to-day operations of a hotel. Hence, let’s take a detailed look into the functions and responsibilities of these hotel departments!

Front Office Department

Front Office Department staffFront Office Department.

As the frontline of every hotel, the Front Office is very crucial. As Kainthola points out in his Principles of Hotel Management, this department has the task of image-building, which means they are the guests’ first and last point of contact.
In a hotel’s daily operation, the Front Office’s responsibilities include:

  • Guests’ check-in and check-out process;
  • Room reservation, registration, and assigning it to the guest;
  • Guest or customer service,
  • Settlement of bills.

To become a good Front Office staff, one has to possess several qualifications. Among the most important skills needed in this area is customer service, as guests tend to approach the Front Office for help, complaint, or to find and pass information. The Front Office should also maintain a clean appearance, physical fitness, and proper etiquette as the role deals directly with customers. Surely, experience is always an added advantage among a Front Office staff’s repertoire of skills.
If you’re interested in pursuing a career in the Front Office department, the best option is to start with an internship program that not only guarantees hands-on experience, but provides you with the skillset and mindset to become a valuable asset to your future employer as well.

Housekeeping Department

Housekeeping DepartmentHousekeeping Department.

This department does most of the hard work behind the scenes. They are the ones who ensure that every guest is as comfortable as they should be.
The Housekeeping staff carries out a number of daily tasks that aren’t as simple as they seem. To be more specific, some of their major responsibilities are as follows:

  • Cleaning and making beds in the guest’s room;
  • Replacing dirty linens and towels, and restocking amenities for the guest,
  • Taking out the trash, room service trays, and performing recycling.

Housekeeping is also in charge of maintaining the cleanliness and appearance of the public and back areas of a hotel, the examples are hallways, elevators, and many more.
With such great responsibilities, Housekeeping is another critical department that supports the success of a hotel’s daily operations. Thus, Housekeeping staff must have essential traits, the first and foremost being organized and detail-oriented due to their main tasks in maintaining the cleanliness and appeal of the hotel’s rooms, areas, and facilities. Additionally, time management and diligence are other skills that one should have to be a good Housekeeping staff, along with adequate experience through internship or training!

Food and Beverage Department

Food and BeverageFood & Beverage Department.

The key function of the Food and Beverage department is to provide food and drinks service to customers. In this department, the staff is usually divided into the Kitchen and Service sub-departments.
In general, Food and Beverage department’s staff are assigned the following duties to support the hotel’s business operations:

  • Ensure that the guests received high-quality meals that meet the regulations;
  • Serve the best culinary and customer service;
  • Dining table arrangement and welcoming the guests,
  • Maintaining cleanliness of the dining room, kitchen, and cutleries.

In larger hotels, the Food and Beverage also provides an array of other services such as bar and pastry for its guests, which are performed by bartenders and pastry chefs.
Just like its other departments, the Food and Beverage has required a certain set of skills from its staff. To able to land a job in this field, an individual must be flexible and adapt to the fast-paced environment of the Food and Beverage department. If he/she aims to join the Kitchen sub-department, there would be more specific requirements, such as knowledge of cooking.
As the food and beverage industry has always been popular, hotel jobs for this expertise are available in various types, ranging from internships to full-time jobs. If you’re a student or graduate who wants to kickstart your career in this area, an internship or management training program would be a fit for your future!

Security and Maintenance Department

Security and Maintenance Department.

Similar to the Housekeeping department, most of the Security and Maintenance department jobs are done out of public view, but their contribution is as important as other departments for the hotel’s seamless operations on a daily basis.
As a part of a hotel’s grand structure, the Security and Maintenance department is responsible for the following aspects:

  • Enforcing protocols that should be followed by both employees and guests;
  • Traffic and access control; examples are controlling traffic flows in parking lots to avoid accidents and patrolling the hotel area to prevent intruders and other suspicious attempts;
  • Handling guests’ loss and prevention cases,
  • Install, manage, and repair the hotel’s system and facilities, such as electricity and internet system, water, furniture, and equipment.

Overall, the function of this department is to ensure the safety and comfort of everyone within the hotel area, and that the integrity of the hotel building and facility is continuously well-maintained.
A few of the skills required from a Security and Maintenance employee are excellent communication, organizational, and strong decision-making skills that would keep the Security and Maintenance department running as intended.

Human Resources Department

Human Resources Department staffHuman Resources Department.

Now that the hospitality industry is blooming again, hotels and resorts everywhere are opening up work opportunities for talented candidates. In order to find and recruit these desired talents, the Human Resources department is the one team who’s responsible for this area.
As they play a crucial role in ensuring the hotel’s future by recruiting talented staff regularly, which may also make Human Resources jobs more challenging at times. In detail, their responsibilities include:

  • Planning, preparing, and listing new human resources needs, organizational and department structure, working contract or agreement, and more;
  • Performing the recruitment process through job posting, application screening, and interviewing candidates;
  • Managing and maintaining external relations with related parties, such as local revenue service and labor departments,
  • Handling training and development, as well as retention of employees.

These great responsibilities of human resources make them key in the development of a hotel, thus affecting organizational success in the long run.
With a bright prospect, human resources management is among the favourite career choices for students and graduates. If you aim to start your journey here, a Human Resources internship is the perfect place to begin!

Sales and Marketing Department

Sales and Marketing DepartmentSales and Marketing Department.

In order for hotels to generate income and become profitable, sales and marketing are essential to reach the target audiences and persuade them into buying decisions. This is where the Sales and Marketing Department comes into the picture.

  • Planning long-term and short-term marketing strategies by researching the market trends;
  • Preparing and producing materials to promote the hotel, as well as executing promotional activities through social media and other channels;
  • Updating customer information in the hotel’s database,
  • Analyzing the performance of marketing campaigns and other statistical data.

Sales and marketing jobs are often challenging with targets to reach, but they held great importance to the success of a hotel’s business. Amidst this digital era, sales and marketing have been one of the most sought-out positions by every hotel. With so many branches in sales and marketing itself, this field promises job opportunities with exciting experience and benefits!

Finance Department

Finance Department expertSales and Marketing Department.

Last, but not least hotel department which is critical to the business is the Finance Department. This department serves a significant purpose in the entire financial activities of a hotel. Specifically, a finance department’s responsibilities are as follows:

  • Recording and reporting data of the hotel’s financial transactions, including revenue, profit, taxes, equity, and more;
  • Updating and reconciling internal financial data and bank statements;
  • Do budgeting, accounting, and preparing monthly to annual financial reports of the hotel,
  • Participating in hotel’s financial audits.

Generally, the Finance Department requires its ideal employees to possess high analytical, communication, and time management skills, along with broad knowledge of financial policies, procedures, and systems.

The good news, some hotels are currently opening up finance internship programs for students and graduates. If this sounds like a fit, come seize the opportunity now!

Lantern Festival In Thailand

5 Festivals You Mustn’t Miss While Visiting Thailand

Thailand has many spectacular charms that never cease to amaze its visitors regardless of how many times they visit. For some, Thailand could be a place full of tropical islands surrounded by pristine waters while others may just want to enjoy the hectic urban lifestyle in cities like Bangkok and Phuket. However, it’s no secret that there is a lot more for those who are willing to discover this beautiful country to the fullest, and get acquainted with its vibrant culture and rich heritage. Hence, we would like to take a glimpse at the junction of Thailand’s deeply-rooted traditions and modern values which can only be experienced during nationwide celebrations – festivals!

1. Songkran Festival

people splash water at other by river during Songkran FestivalPeople splash water at each other during Songkran Festival.

The Songkran Festival (Water Festival) is Thailand’s longest-running festival, with its origins dating back to the 14th century. The actual celebration itself can be traced back to the 16th century when it was an occasion for people to visit temples and pay respects to their ancestors. Up until 1888, it was the official New Year of Thailand as it marked the beginning of the Lunar year. The event is held annually from the 13th of April through the 15th and it is one of the nationwide festivals celebrated by all.

In Thai culture, it is believed that when you “pour” your troubles away by splashing water on others you will be cleansed of all your problems. The water fights are started by a ritual pouring of water from a small wooden bucket onto sidewalks or ground throughout Thailand.

The Songkran Festival has grown over time, but there are still some aspects that have remained constant throughout its existence. It’s still a chance for Thais to spend time with family members and friends, as well as for them to celebrate their culture through food and drink. Meanwhile, foreigners get to witness and take part in such a rich cultural event in Thailand.

2. Phi Ta Khon Festival

A group of performers wearing ghastly masks.A group of performers wearing ghastly masks.

The Phi Ta Khon Festival or Ghost Festival is one of the most interesting festivals in Thailand. It is a three-day festival that combines religious traditions, a fun-loving party atmosphere, and local handicrafts. It is celebrated for three days with thousands of locals wearing colourful, ghastly masks with stretched faces and phallic noses, painted in bright, and gaudy colours. The Ghost Festival’s origin is a mixture of Buddhist and animist beliefs. Friday is usually when the main parade takes place, Saturday has music shows and pageants while Sunday is reserved for Buddhist ceremonies.

The Phi Ta Khon Festival originated from the belief that ghosts were still roaming around during this time of year due to leftover spirits from previous years. According to legend, there are two types of ghosts: good ones who have died in heaven but still want to help others on Earth; and evil ones who want nothing more than to cause trouble for humans by stealing their possessions and harming them physically or emotionally. Thai people would wear these ghastly costumes in order to confuse bad spirits into believing they are good spirits themselves so they will leave them alone without causing any harm to humans or animals in their vicinity.

3. Yi Peng Festival

people releasing lanterns during Yi Peng festival nightPeople release lanterns in the air during Yi Peng night.

Yi Peng which stands for Lantern Festival has its roots in Chinese tradition like many other Asian festivals. The Chinese celebrate their New Year each year by releasing lanterns into the sky as a symbol of hope for better times ahead. This tradition has been carried over to other Asian countries as well, including Thailand.
The Lantern Festival is a Thai holiday that celebrates the end of Buddhist Lent, which lasts for three months. The celebration takes place during the full moon in October or November.

The festival carries both spiritual and worldly meaning for the people of Thailand. Aside from celebrating the end of the monsoon season, it is a way of ridding oneself of negativity and seeking goodness in life. Meanwhile, for new generations, it is more of an entertainment where everyone gets together and has fun.

Yi Peng (The Lantern Festival) takes place annually in Chiang Mai, Thailand. The festival is celebrated with fireworks, parades and dancing around the city’s local landmarks such as Wat Chedi Luang Temple, Wat Phra Singh Temple and Wat Si Chum Temple.

4. The Lopburi Monkey Banquet

The Lopburi Monkey Banquet is one of the most interesting festivals in Thailand. It takes place over a period of two days in November and has become very popular among tourists in recent years.

The main attraction at this event is a herd of monkeys that reside in Lopburi province and they are fed by visitors all year round. However, in November, the simple treats that they get from visitors are replaced by something a lot grander. A huge banquet is laid out for about 3,000 monkeys that live in this part of Thailand, giving them a chance to feast on 4 tons of fruits, vegetables and an array of other treats.

If you would like to join the party, the location of this festival is not too far from Bangkok to the north and can be reached in less than 2 hours by car or public transport. Be prepared to witness a feast that all creatures in the animal kingdom would be jealous of.

5. Wonderfruit Festival

The Wonderfruit Festival has been around for many years now and it has grown into one of the most popular events in Bangkok for locals as well as tourists alike. Not only does it showcase some of the best bands from around Asia but also lets visitors immerse themselves in an artsy environment that brings them closer to their inner creativity. The festival also offers something for everyone with many activities such as cooking workshops and dance performances for kids as well as adults!

10 Best Places to Visit in Vietnam

Southeast Asia is teeming with beautiful destinations all of which are worth visiting many times over while some of them are yet to be explored fully such as Vietnam. Although the country has been known for its wonderful attractions such as tropical islands, hectic city life, historical monuments, water sports, mountain adventures, and more, some of them deserve special attention to notice their unique charm. Hence, we decided to take you on a tour around Vietnam to make sure you will get to know how spectacular this country is, and hopefully, it will occupy a spot on the list of top destinations for your next trip.

1. Halong Bay

Halong BayHalong Bay

Halong Bay is one of the most beautiful bays in Vietnam. It’s like a dreamland for tourists who want to enjoy the natural beauty of the country. No wonder why it is given the status of a UNESCO World Heritage Site and described as one of Vietnam’s most spectacular natural treasures!

Halong Bay is famous for its limestone islands, which are formed by erosion over many millennia. The bay has more than 10,000 islands, which are shaped by wind and water action into jagged pinnacles that look like a pile of broken glass.

There are also caves in Halong Bay that can be explored such as Hang Sung Sot, with three mammoth caverns, and Hang Dao Go with superbly weird stalagmites and stalactites. For most people though, the highlight is simply cruising amid the karsts and soaking up the changing scenery of pinnacles as you pass by.

2. Ho Chi Minh City

Ho Chi Minh City HallHo Chi Minh City Hall

Ho Chi Minh City is the largest city in Vietnam and the country’s economic, cultural as well as educational center. The city is located on the coast of the Gulf of Tonkin, near the tripoint of Vietnam, China and Laos.

The streets are insanely clogged with motorbikes, and cars while the scenery of crowded restaurants and cafés is nothing short of a cosmopolitan lifestyle. In addition, the shopping experience is the best in the country as long as your pocket can handle it.

If you are attracted to the history of the country, you may check out the old district of Da Kao nearby for some of the best surviving examples of the city’s French colonial architecture and also visit the Jade Emperor Pagoda with its dazzling array of Buddhist and Taoist religious iconography.

3. Hue

thien mu pagoda in hue central vietnamThien Mu Pagoda in Hue

Hue is another historic site, and probably the most popular one among tourists in Vietnam as it is brimming with historic buildings and relics of the 19th-century Nguyen empire. Although some of the buildings were damaged during the Vietnam war, you can still witness a piece of Vietnam’s recent history as a whole.

Located on the banks of the Perfume River, the Imperial Enclosure is a massive complex sprawling 2.5 kilometers and contains several palaces and temples. Here are some of the jewels of the complex that intrigue both tourists and locals alike:

  • Ngo Mon Gate is considered the masterpiece of Hue city due to its sophistication and peculiar architecture.
  • Thai Hoa Palace used to be the symbol of the Nguyen Dynasty and was the place of important rituals such as the coronation ceremonies.
  • Dien Tho Residence was once the residence of the Queen Mothers.
  • Halls of Mandarins were used as offices and to prepare for court ceremonies.

There are other historic sites outside the Imperial Enclosure complex as well. One of them is the Tomb of Tu Doc and the most important pagoda in the area is the Thien Mu Pagoda, with its tower soaring 21 meters high.

4. Phong Nha-Ke Bang National Park

Phong Nha-Ke Bang National ParkPhong Nha-Ke Bang National Park

Phong Nha-Ke Bang National Park is one of the most popular destinations in Vietnam for caving, and it’s a World Heritage-listed site that’s home to stunning stalactite and stalagmite displays. You can get to Phong Nha-Ke Bang National Park from Son Trach City, about an hour’s drive from HCMC (Ho Chi Minh City).

Paradise Cave is one of the most famous attractions for cave enthusiasts in the park due to its mind-blowing 31-kilometer track below ground. Another stunning cave that is worth visiting is a “wet cave,” — Tu Lan Cave. However, don’t forget to come prepared as you will have to swim through the cave-systems river to witness the true beauty within.

5. My Son

My Son sanctuaryMy Son Sanctuary

My Son is a ruined Cham-era temple city that dates from the 4th century. It is located in Quang Nam province, about 25km northeast of Hoi An, and is surrounded by lush jungles and high mountains. The site was inscribed as a UNESCO World Heritage Site in 1999 and was also recognized as a national treasure of Vietnam in 2005.

There are around 20 temple structures still standing here, all built of brick or sandstone blocks and showing interesting influences from various Asian empires, including Indian and Malay.

If you would like to read about historic facts, then I highly recommend you check out the history of the Cham people who have a unique and rich heritage.

6. Sapa Countryside

Sapa Countryside VietnamSapa Countryside

Sapa is Vietnam’s most famous mountain town, home to breathtaking natural beauty and stunning rural vistas. Sapa is the main base of operations for travelers who want to get off the beaten path and explore this beautiful part of the country as it presents oodles of options to trek between tiny villages, and experience the breathtaking mountain views. The view of mesmerizing green rice terraces you often see on the Internet is most likely taken here.

If you are concerned about all the city conveniences you have to leave behind, don’t worry. Sapa town offers all the amenities you may need such as restaurants, shops, and hotels while there are plenty of homestays in Ta Van if you would like to truly experience the daily lives of Vietnamese by living with a local family.

There are many types of birds on the island including endangered species such as the crested macaque, which can be seen at many tourist sites on the island.

On top of that, Cat Ba is also one of Vietnam’s most important historical sites and home to some very old communities although it is often seen as an adventure tourism destination. Regardless, The best time to visit Cat Ba is from March to the middle of April as you will have the most sunshine and clear water so that you can enjoy your trip to the fullest!

8. Nha Trang

Nha Trang undoubtedly has one of the best beaches in Vietnam, with lots of sunbathing lounges, umbrellas, and showers dotted along the shoreline. There’s also a good selection of restaurants and bars at the edge of the beach.

During the spring and summer months (April to September), it’s busy here with locals on holiday or visitors from around Vietnam enjoying themselves. The beach isn’t particularly wide but it is long enough for families to get away from the crowds on either side.

In addition to being great for swimming, there are several water sports activities on offer including kayaking, windsurfing, and parasailing. You can also hire water scooters for an adrenaline rush!

9. Phu Quoc Island

Phu Quoc IslandPhu Quoc Island

The island of Phu Quoc, located off the coast of Vietnam’s southernmost province of Ca Mau, is famous for its sandy white beaches and crystal-clear water. With a population of just over 100,000 people, it’s also a haven for tourists looking to escape the hustle and bustle of busy cities like Ho Chi Minh City and Da Nang.

Phu Quoc is home to some of Vietnam’s most popular diving sites, with clear waters that attract a wide range of tropical fish and coral reefs teeming with colorful marine life. The island also has some excellent onshore activities such as hiking along its lush forested trails or taking in some culture at its museums or art galleries.

The best time to visit Phu Quoc is during the winter dry season (November to May), when the beach is deserted and there aren’t many tourists on the island. This makes it easier for you to get around solo if desired, but still gives you access to all that Phu Quoc has to offer: beautiful beaches, stunning scenery and plenty of activities for all ages!

As I just mentioned above, the UAE’s population growth has been exponential over the last few decades and the reason may not be particularly what you think. It’s just a matter of laws and beliefs that must be respected regardless of which country we travel to. The UAE is no exception: it has its own unique set of laws, regulations and code of conduct that people are expected to follow when visiting Dubai.

8. Strict Regulations on Alcohol

alcohol not allowedAlcohol consumption is strictly regulated in Dubai.

According to the religion of Islam which is the official religion of The UAE, alcohol consumption is strictly prohibited, and therefore the authorities regulate and monitor its consumption while individuals under 21 years of age are not allowed to drink at all regardless of their religious beliefs. Nowadays, residents no longer need to present the license to buy alcohol while it must still be consumed privately or in licensed public areas.

UAE’s water consumption is the highest in the world as it’s about 80% more than what people usually use in other countries on average. Although 550 liters of water usage is estimated per person daily, the cooling systems are responsible for most of it. Since temperatures sometimes go up as high as 50°C (120°F) or above, Dubai needs a lot of water to cool those massive structures such as malls, offices and residential buildings.
